Hi Peet,

We are starting a new entity called Sage Management and we will want to have your assistance on IT support. If you are interested, it would be great if you are able to put together a proposal for your services.

Please let me know what additional information you may need to put together a proposal.

Thanks!

Andrew,

Sounds great, and congratulations on another project.

To get started, please tell me more about the new entity:

- Where will it be located? Is it a PM for multiple properties or just one?
- How many FTE will be employed? How many FTE will be knowledge workers (primary computer users)?
- What type of industry specific systems (physical key management, property management system, etc.) will be under management?
- Is there existing infrastructure (computers, networking, etc.) or will the entity require a wholesale new deployment?

Thanks.Peet

Thanks Peet! See responses below in green.

- Where will it be located? Is it a PM for multiple properties or just one?Business will be based from my house with employees deployed at 3 different properties at this time.
- How many FTE will be employed? How many FTE will be knowledge workers (primary computer users)? We will have 6 FTE’s and 4 people including myself with company computers and I will also want to have an ipad at each site and 1 for myself so 4 total.
- What type of industry specific systems (physical key management, property management system, etc.) will be under management? We will be working with the Farran Property Management Yardi for now and will not have our own system until we branch out to additional clients. With the exception of a few mechanical locks Farran Property Management run has a electronic key system that they manage and will stay that way.
- Is there existing infrastructure (computers, networking, etc.) or will the entity require a wholesale new deployment? Each maintenance lead onsite is currently using a Farran Property Management computer…our new entity will be purchasing 3 of their computers and will need to deploy them under our new entity. I am purchasing a macbook air this afternoon that will be my Sage Management computer.

Andrew,

That helps to get a sliver of what's going on with the group. I do have more questions now than can be easily handled via email could you schedule a time for a chat with me here: https://artichoke.consulting/schedule/peet

Happy Friday.

Andrew,

Good morning. I have two meetings scheduled with you for "New entity management" today at 10AM (booked last Friday) and "New service discussion" on Wednesday at 10AM (booked at 9:17 this morning).

I'm trying to work out our scheduled meeting and if you're still looking to meet this AM. I don't see a cancelation for today, but Bookings can be less than obvious.

Thanks.Peet

I now have conflict this morning at 10am so I rescheduled for the next time I had available that also was available on the booking options. I tried to find a cancellation option for todays but could not find. Thanks! Andrew

Andrew,

No worries. Wednesday sounds great.

As an FYI, the Bookings confirmation email has a direct link to reschedule or cancel any meetings.

Andrew,

Great to talk yesterday. Thanks for getting me up to speed with Sage Consulting, LLC. I'm sending along an executable version of the Framework Service Agreement with a Managed Services Agreement via Boldsign. You can also find a Word version of the agreement attached.

The gist of the agreement is as follows: The pricing model is based on the number of knowledge users employed at Sage Management, LLC. That is everyone assigned a device. For Sage, that would be the Maintenance leads and yourself, but not the Porters. The minimum number of employees for the agreement is five which is reflected in Exhibit B, Section 1.

The total monthly cost of $842 covers up to 5 knowledge workers for Managed Services as well as 1Password Business, and 4 users for Microsoft Business Premium.

Included in the Agreement:

- Up to 10 hours of onboarding and Setup Services. (I would be incredibly surprised if the Sage onboarding goes over)
- Setup and management of your Microsoft 365 Tenant, including enabling email and other services for your domain.
- Setup and management of your 1Password for Business account and the first 5 licenses.
- Guidance for setting up your Apple Business Manager account and management of it post setup.
- Intune and Autopilot (automatic windows device setup) setup and management as well as Automated Device Enrollment and MDM for macOS and Apple devices.
- Configuration and deployment of Micosoft Defender for Endpoints as well as Managed Detection and Response (currently Huntress).
- Managed OS and software updates for enrolled devices.
- Remote Support on all existing devices in your infrastructure. Onsite hours for support and maintenance for existing devices is included, but travel time and expenses are not.

Managed Services covers all of your existing (or in your case soon to be existing devices and users), however there are times that there will be hourly support, and I will inform you beforehand. The easiest way to describe what is billed as hourly is work that would be considered Add/Change/Move. Once everything and everyone is onboarded and accounted for, new deployments like support building a SharePoint workflow/checklist for your Maintenace folks would be billed hourly. But once the solution is in place, it becomes part of your infrastructure and regular Maintenance and Support would be included.

Another example would be needing help installing and configuring a software package like Quickbooks for Enterprise (I know this example doesn't perfectly fit here, but it illustrates the Add/ChangeMove well). Instalation and setup would be hourly, but all the regular updates and troubleshooting after would be regular support and maintenance. If in the future, you need to migrate to a new platform like QuickBooks Online or Xero, the migration would be hourly, but after the migration it's included support and maintenance.

If you have any questions, please don't hesitate to ask. I'm off for the rest of the day (surprising my kiddos with an opening day viewing of The Minecraft Movie 🍿)

Cheers.Peet

Andrew,

I've executed the agreement and will get started for you today. I'm going to need the squarespace login, but it looks like you've not ever set up 1Password (for secure password management and secret sharing) with FRP so let's start there. Please follow this link and setup your 1Password account:

https://farranco.1password.com/teamjoin/invitation/5MNWTFZG4RG53LSMUX3PI22CP4

In any browser you use install the extension:
https://1password.com/downloads/browser-extension

On your computer and phone, install 1Password as well:
Windows App Store
https://apps.microsoft.com/detail/xp99c9g0krdz27?ocid=webpdpshare
iOS:
https://apps.apple.com/us/app/1password-password-manager/id1511601750
Android:
https://play.google.com/store/apps/details?id=com.onepassword.android

If you get stuck at any point, let me know. But my primary goal here is to have you create a record in 1Password for your square space credentials and use the "Share" feature to send [email protected] the credential.

[embedded image]

We can handle the credential over the phone or another way, but you'll need to have your 1Passoword setup regardless, so this is a great excuse to get started now.

Perfect!

Setting up your Microsoft Tenant now. I just need you to affirm that you agree to the "CSP Partner" Purchase Channel version of the "Microsoft Customer Agreement" found here (text attached). This is the same agreement that you'd click through while starting an M365 tenant on as a direct consumer:

https://www.microsoft.com/licensing/docs/customeragreement

And that you also understand/agree that after the 30day trial, the four licenses of "Microsoft 365 Business Premium" will be a 12-month commitment (05/2025-05/2026 $276/license) billed monthly ($23/license) with billing beginning 04/24/2025.

Andrew,

I'm sorry that I didn't mention this in my previous email, but the sooner I get your approval on the previous email, the sooner I can have your services (email, etc) spun up.

No worries if there's no urgency.

Andrew,

I have a good portion of your services set up. I do need to know how you'd like to handle your usernames. For companies as small as Sage, you can go with first name as the username, but you'll inevitably end up with an "andrew1" or the like when a a name doubles up.

First Initial + last name like @farranco is a great way to go for smaller companies. And "first.last" is safe even for larger organization.

I'd lean First Initial + last name. Please let me know.

Is it odd to add the first letter of the last name? Like “andrewj”

Nope. FirstNameLastInitial is a another happy medium. (you've seen Severence, right :D). I'll go that direction for Sage when I work again tomorrow.

Andrew,

Your M365 account and email, [email protected], is built for you. Do you need any shared mailboxes built immediately? Employee accounts?

Here is a link to your account credentials:
https://start.1password.com/open/i?a=OOKN55GEERF5TEEVECMRNSMLDQ&v=7gwkmtjxvldayqahsrnxzq6iom&i=2i6vdm2pztjhabgpmdpdmddkca&h=farranco.1password.com

Here is a direct link to the "Sage Management" SharePoint site.
https://sagesvcs.sharepoint.com/sites/sagemgmt/

Here is the signup link for Sage's 1Password.
https://sagesvcs.1password.com/teamjoin/invitation/R24XRYI7AFGE5HT7NSMEJZ6UKA

The next step is to set up your Apple Business Manager account and then I'll be able to build out your mobile device management. I'd be happy to walk you through the setup process which will require registering for a DUNS number via Dun and Bradstreet. Since you'll need a new DUNS number it can take a bit of time to get one issued. They warn that it can take up to 30 days, but it's usually faster.

Thanks.Peet

Hi Peet –

Thanks for getting this all set up. I was able to get everything downloaded and running on my mac.

If we can get an [email protected] email set up as well that would be great. We can wait a couple weeks on the rest of the maintenance team emails.

Regarding the D&B #, I made it through the application and got stopped on the SIC code. I don’t have one of these numbers…any insight you can provide on this is helpful.

Thanks!

Andrew

Andrew,
i’ve never been requested information by Apple during the set up process for an Apple Business account (and concurrently a DUNS number application) that wasn’t readily available. I don’t recall ever needing to categorize a business by SIC code, but it’s been a while since I’ve hade to set up an account without an existing DUNS number.

Do you happen to have any screenshots at what point in the set up with Apple that you were entering or SIC code?

After a bit of googling, here’s a list of codes.

https://www.sa.gov/files/assets/main/v/1/finance/documents/procurement/naics-crosswalk.pdf

I’d imagine your group is 561700 or 561790. I would lean toward the Broeder category, because the examples of 561790 that I found are mostly specialized cleaning services.
