Couple questions came up when I was sharing this transition with my team

-Will we have the opportunity to text people from the lines? One staff member uses Google Voice now (so he can route his cell through a 406 number) and it allows him to text.

-I’m assuming if someone is on a call in their car it can Bluetooth in to the car audio?

-Will people be able to video call with people outside of the organization? Or is that only inside or if they have Teams?

Not natively, no. Google Voice can text, yes, but Microsoft Teams Phones does not have that functionality. Third party applications can provide this for around 10/user/mo. https://clerk.chat/integrations/microsoft-teams/

Yes, but keep in mind that calls in a moving vehicle are only as good as the *consistency* of the Internet network, not the voice network.

It will be no different than it is today. Anyone can join a Teams meeting. Meetings and teams to teams calls are completely seperate from Teams Phone. Teams Phone exists to handle calls via the existing phone network.

Peet, I bought the first license under the Microsoft Online Service Agreement. And then when I went to buy the other license under Microsoft Customer Agreement I’m getting an error message, I’m assuming because I need the calling plan? Does it just take a second or do I need to have the calling plan license under the same billing account for it work?

MS could/should be working on it, but I'm not at all sure. The integration that allows for SMS is the same that other providers to offer VOIP service on Teams phone. Sometimes that's all MS/big tech will do. Create the hooks and then allow other folks to develop the solutions

Google voice would be your best choice if you were already on Google workspace. I would not recommend it for an M365 Business.

I did purchase the first one and then I’m having issues with the 10 licenses. I’m getting a weird error message. I’m in support chat with microsoft to see what’s happening. I thought maybe it took time for the first one to go through because it is a prerequisite? But I tried again this morning and nothing. And then I wondered if somehow the perquisite wasn’t connecting because it is on a different billing account?

I’ll let you know what I hear from Microsoft. But I know I’m in the right place.

It could also be that there were no numbers in your account and no licenses associated with users. I've not run into issues purchasing licenses for resource accounts, but I also am the reseller for folks using Teams, so the purchasing channel is much different than "direct commercial".

Regardless, If the system is checking to ensure that you have user and voice app numbers, I've set up 4 likely temporary numbers for you. Fingers crossed that's all that is needed.

As an FYI, you have +1 406 597 8313 on your teams and can make calls to and from it.

Next, I've got the bones setup and ready for you to look at, +1 406 597 8300 is currently answered by your Primary Auto attendant. +1 406 597 8301 assigned to you and is the only other number assigned. If you try to dial by name in the main menu, you can only say "EJ Porth" if you want to activate it for a direct transfer.

There are 6 call queues that folks cand chose by name or number. Each queue is associated with an M365 Group that is the public mailbox for the group:

I had to rework the flow a bit because Call Queues cannot handle After Hours or Holiday Exceptions. Attached is a flow chart of the call flow. But you'll see that you now have two Auto Attendants and seven Call Queues. The primary takeaways are:

- All After Hours/Holiday exceptions are defined on GVLT-Reception-AutoAttendent.
- GVLT-Routing-AutoAttendent exists only for routing a call.
- GVLT-Reception-Queue will be automatically skipped if no one in "GVLT-Reception" group is available or registered to take a call.
- The GVLT-Reception-Queue has messaging to let callers know someone (a human) will be right with them and also has messaging to apologize that no one was able to take their call if "GVLT-Reception" does not answer.

Peet, This looks good but quick question so I understand on the afterhours/ holiday.

For those scenarios, it goes straight to voicemail rather than letting people get to a specific team or person’s voicemail? I suppose that could work, and we can just forward general voicemails the next day to the right person.

Lastly, is there an option on the primary auto-attendant that says general mailbox at the very end? Or are we assuming with the groups that someone will find what they’re looking for?

Does it repeat if there is no selection or hang up?

Sorry for the delay on this:

Afterhours/Holiday can be directed fromGVLT-Reception-AutoAttendant to GVLT-Routing-AutoAttendant and be routed as usual. As currently configured, it dumps callers to general-vm.

Adding a "leave a message in the general voice mailbox" is trivial. My hope would be that callers would be served by one of the options and the options do repeat. After playing the auto attendant info three times with no input, the call is disconnected.

If you'd like the caller to be transferred somewhere after the auto attendant script runs three times, that's possible as well and simply requires setting the Operator for the auto attendant.

Thanks Peet. Just want to clarify on this first point. If someone calls after hours, we’d love for them to have the ability to get to someone’s mailbox or a team’s mailbox, in addition to the general. Could we list general first and then the next two options?

My next steps are populating the groups with members, making sure the greetings are right and recording some that feel like they should be our voice, and then I’m going to create a team for each group so they can communicate with eachother about the voicemails. I’m hoping those teams also function well for our migration into using teams better. We’re going to try to roll out some more microsoft training about how to use teams at the same time as phones. I know you don’t do the training, but do you know someone who could help us with microsoft ecosystem clean up, structure and training?

I've renamed this ticket to just "Teams Phone" and added [email protected]. Three-ish phone rings is doable. The time outs are all based on seconds (in 15 second increments). 15 seconds seems about right.

Could you please put everyone that needs a phone license into "GVLT-Licensing-TeamsPhone". I would appreciate it. It will ensure that all users in the group have the "Teams Phone with Calling Plan (country zone 1 - US)" applied to their account.

No, not all users should have access to general voicemail. Elin will just forward to the appropriate person (more efficient, less back and forth about who is taking what voicemail).

Lastly, our Trails Team already has a group and they’re using it extensively so rather than give them an alternate (GVLT-Trails), can we swap the routing to go to ‘Trails Team’. There are currently two in our groups by that name but I’m working with them to clean some up. The right one is the [email protected]

Peet,

Can you send that link to the microsoft teams phone? I want to order asap so we can make sure to get trained up on how to use it.

Also, I’m adding those holiday greetings we talked about but I’m getting confused because there are two spots for greetings. For example, I added Christmas and New Years 2025 and it says Greeting at the top and then under Call routing options (I’m assuming we should select play menu options) it asks for another greeting. What is the difference?

Peet, This is correct, but we’re missing me and we’re missing Ainsley Kintz who is temporary and will be a new person every year. They are using the same email account each time so the same phone number works too. The email is [email protected]

And we have 2 people who work primarily in Livingston so can we make sure Kelsie and Cole have Livingston numbers? And can the rest of us be Bozeman? Unless Bozeman is maxxed in which case Livingston is ok.

Getting some goofy stuff.

When I call, it says my recorded greeting and then another auto generated ‘someone will be right with you’. I can’t find that second one to delete it somehow.

When I tried leaving a voicemail in the general mailbox, there was no beep or at least it wasn’t clear that the voicemail recording had started. And then it said I need to hit # to stop but then it said I started a search or something?

If you call our line and try to leave a voicemail, you’ll see what I mean.

For now, that’s what I’ve come across. Minor, I think.

There was an old setting attached to routing of the Pickup Attendant. So,the double greeting is fixed.

Option 7 didn't save when we spoke. I remade the actual option and allowed the system "please leave a message to" to play.

Because of the way the queues are structured, they have a message for each of the voicemail boxes. You have the option to also record and upload a greeting.

I'm not sure about the most recent question, but it sounds like you're okay and the system is picking up?

Ah the last question, let me see if I can rephrase.

When I first called our main line, I got the double message and then it rang, and then went to the auto attendant. When I called the same line 30 minutes later, I only got one greeting and then it went straight to auto attendant without ringing Elin. It was 4:30 so I couldn’t figure out when it wasn’t ringing. And it also didn’t give me an office closed message.

You may have fixed it but it was odd.

The rest of the stuff I think you covered!

Peet, This isn’t urgent but as I was testing, I realized I don’t have clarity on how the reception line interacts (or doesn’t) with Elin’s personal calendar. I’m guessing it doesn’t? The reason I ask is that Elin is periodically away from the phone during working hours and doesn’t ever work on Friday. Wondering how we should go about making sure the phone doesn’t ring when she’s not at her desk. Changing her calendar wouldn’t impact that, I’m guessing. And I don’t necessarily want to say we’re closed on Friday because then it would only give General Voicemail option rather than just clicking over the auto attendant right away which is what we would want.

For GVLT-Queue-Reception, there are a few things to know. First, the longest someone will be in the queue before being transferred to the GVLT-AutoAttendant-Routing is 30 seconds, ¯\_(ツ)_/¯. Second, if there are no agents/user signed in and available to answer the call, the GVLT-Queue-Reception will automatically forward to GVLT-AutoAttendant-Routing.

The extra numbers are to keep more than you will need on hand that are all within the same general range. Thes numbers can be used for additional staff or other needs like a telephon conference lines for a fundraising event or whatever. As soon as you release them, you will never get the numbers back and there's no guarantee that you'd get anything in the 92045XX range. So it's best to keep them around.

Peet, Overall, yesterday’s roll out went well. We have a few minor questions and the staff will be testing it out for the next week on their own. Then we plan to forward our main line for a bit, confirm it is working and then we can schedule the formal switch with spectrum.

- When we were testing the dial by name, it appeared that my name was the only one it had. It worked great for EJ, but then when I tried other names, it kept asking me if I wanted to call EJ. Where does that info come from? Can you double check?
- I’ll work on the SMS settings. People were excited about that.
- It appears that the reception line is actually connected to Elin’s calendar which is great. We can address those Friday hours and some of her availability at the front desk using her calendar so it doesn’t ring when she’s not there (but we’re still open).
- Elin is often returning calls from the general voicemail box. Any chance she can call out from our main line or can she only use her personal line calling out?

There may be a few more small things that come up as staff are getting comfortable. I set a time for Monday for us to chat next steps.

-  Dial by name: I created a specific "include" group for your tenant for dial by name. You were the only user in the group. I inverted the group to be an "exclude" group. So, anyone you add to [GVLT-Teams-DialByName_Exclude](https://admin.microsoft.com/#/groups/ZGlhbA==/:/TeamDetails/faac4507-3a05-4954-859a-308e95a706d3) will be excluded from dial by name.
- SMS: please let me know when you've filled out the [SMS Service configuration](https://admin.teams.microsoft.com/service-configuration), and I'll test functionality for you.
- Reception and Calendar: The reception Queue is not explicitly linked to Elin's calendar, but is representative of the Teams Phone availability of the users that are added to [GVLT-Reception](https://admin.microsoft.com/#/groups/R1ZMVC1SZWNlcHRpb24=/:/TeamDetails/6a836e72-f85c-4183-97ce-aba5ebf2168e). If a user in [GVLT-Reception](https://admin.microsoft.com/#/groups/R1ZMVC1SZWNlcHRpb24=/:/TeamDetails/6a836e72-f85c-4183-97ce-aba5ebf2168e) is signed into Teams, opted into the [GVLT-Queue-Reception](https://admin.teams.microsoft.com/call-queues), and available for a call, the call will ring into the GVLT-Queue-Reception.
Currently only you and Elin are in the group. If you are opted into the queue and available, but Elin is unavailable, the call will ring you when it enters the [GVLT-Queue-Reception](https://admin.teams.microsoft.com/call-queues).
